We have planned over 200+ weddings and know firsthand that planning a wedding is a monumental task, and creating a seamless wedding day timeline is a crucial component of that process. As a luxury destination wedding planner with expertise in organizing weddings in exotic locations such as Hawaii, California, New York, Mexico, and Italy, I understand the unique challenges and opportunities that come with orchestrating weddings in these diverse settings. In this comprehensive guide, I will share my insights and best practices for crafting a wedding day timeline that ensures your clients’ dream destination wedding goes off without a hitch.
Understanding the Destination
Before diving into the specifics of crafting a wedding day timeline, it’s essential to understand the unique characteristics and challenges posed by different destinations. Each location, whether it’s the tropical paradise of Hawaii, the scenic wineries of California, the vibrant streets of New York, the cultural richness of Mexico, or the romantic allure of Italy, comes with its own set of considerations. Here are a few considerations for each location:
Hawaii: Planning a wedding in Hawaii is such a fun experience but for some, it can be rather daunting planning a wedding in this tropical paradise because of the sheer distance and time zone navigation. Some of the considerations you have to make are weather, time of year you’re hosting–is it the rainy or dry season and also which of the beautiful islands do you want to get married?
New York City: NYC hosts countless weddings per year and some things to consider in this giant city that I used to call home would be permits and logistics, which borough do you want to host your wedding and how do you want to capture the energy of this iconic city?
Mexico: Mexico is probably one of the most iconic places for a luxury wedding because it is rich in culture and scenery. Hosting a wedding in mexico means you have to consider the legal requirements for international weddings, where did you want to host– hacienda? historical landmark? luxury beach resort? In addition to these considerations, many couples want to embrace Mexican traditions and cuisine when planning their wedding.
Italy: Oh, Italy. You have my heart. Italy is such a wonderful place to host a wedding but when planning you have to consider destination-sepcific legalities, what sort of iconic location are you interested in hosting your wedding? A vineyard? Castle or other historic site? and like Mexico, how do you want to embrace local traditions and cuisine when planning your wedding.
The Pre-Wedding Phase
A well-thought-out wedding day timeline begins long before the actual day. The pre-wedding phase involves essential planning steps that set the stage for a successful wedding day. Below is what the pre-wedding phase looks like for the majority of my clients.

Building the Wedding Day Timeline
Now that the groundwork is in place, it’s time to create the wedding day timeline. The process of building a timeline is tailored to the specific destination and the couple’s vision. For us, no two timelines are identical. When we build a wedding day timeline we consider the following items to ensure a seamless wedding day experience:
Setting Priorities and Must-Have Moments
Timing and Flow
Contingency Planning
Our job is to expect and plan for the unexpected. We plan for the worst and hope for the best and this is essential when building the timeline.
The Wedding Day
The wedding day itself is a whirlwind of emotions and activities, nevermind the complexity of organizing family photos, hair and makeup touchups and so much more. This section dives into the intricate details of executing the timeline on the big day, ensuring that every moment is picture-perfect.

Post-Wedding Wrap-Up
Once the wedding day is over, there are still important tasks to complete. Thankfully if you have a wedding planner these post wedding tasks are handled by us and you can jet off to your honeymoon destination worry free. This chapter discusses post-wedding wrap-up, including ensuring all loose ends are tied up and the couple’s transition to married life is seamless.
